Put in one task and the people who do it. This returns the hours freed, the monthly saving, how long the build takes to pay for itself, and the year-one net. It will also tell you when the saving is not real, which is more often than vendors mention.
Pick one specific, repeating task. Not "admin". Something like "compiling the monthly donor report" or "answering order status questions on WhatsApp".
Fully loaded means salary plus NSSF, plus the share of rent, power and management that person carries. A common shortcut is salary times 1.3.
Be conservative here. In year one, a well-scoped AI deployment usually removes 25 to 45 percent of the time on a task, not 90. Anything above 60 assumes the task itself gets redesigned, which is a bigger project than it sounds.
